Registration opens on the second Monday in March each year beginning at 8:00 PM (CT). Schools that have participated in 75% or more of the total festivals (Legacy Schools) will have the opportunity to submit their registrations one week in advance.

Yes, if the festival is full, you can be added to our waiting list. Your placement on the waiting list will be determined by the date/time of your registration. Schools will be notified when/if an opening occurs. Typically a few openings take place each year.

Information will be shared via our BTN Newsletters. These newsletters will keep you informed regarding deadlines, procedures, reminders, and opportunities. Sign up for the newsletter mailing list so you don’t miss news and updates.

The festival schedule is available on the website. Keep in mind that there are multiple tabs at the bottom specific to each performance venue and site.

Any person (child or adult) who wants to enter the waterpark, regardless if they intend to swim or not, will need to purchase a pass during the registration process. Keep in mind that passes purchased through the pre-registration process are reduced compared to purchasing them in person during the festival.
No pass is necessary to enter Tom Foolery’s Indoor Theme Park.
Chaperones, bus drivers and educators can also purchase the pizza lunch/dinner for the same cost as the students.
Parents, friends, etc cannot purchase pizza or theme park tickets through this festival if they are not directly involved as a chaperone.

Safety is our number one priority at the Festival. We require schools to provide a 10:1 ratio of students to adult chaperones. This rule is NOT flexible and must be satisfied in order to participate. Please reach out to Chris if you have questions. Thank you!

If a child is sick or cannot attend you will not be able to return the wristband and pizza tickets for a refund. You will however be able to turn it into Festival Headquarters on the same day of your performance for a water and/or Adventure park voucher, which will be good for 30 days.
Please DO NOT hold on to water or theme park bands for absent students - they WILL NOT be able to use them for a future visit - only a voucher. Meal tickets will need to be used on your performance day as well and cannot be kept for future use. I recommend offerimg that token to a hungry student looking for more food.
You MAY NOT ask the group sales office to swap waterpark passes for Adventure Park passes at this point. This has to do with revenue sharing, capacity issues, and more. Thanks for understanding.

Pre-Festival Planning

Lunch or Dinner at the festival consists of one large slice of pizza (we are talking the size of a plate), carrot sticks, and a soda/water. Music educators will register for these meals during the online registration a few months prior to the festival. Remember to order meal tickets for chaperones, teachers, and bus drivers.
Breakfast is available for groups staying overnight. The breakfast will be served in the same location as the pizza. The breakfast will be scrambled eggs, breakfast potatoes, sausage links, water and orange juice. Cold cereal and milk can be substituted for the eggs if a student is allergic or doesn't like eggs.
All meals should be ordered in advance as this helps the Kalahari to prepare the correct number of meals. In the case of emergencies, extra meal tickets can be purchased on site at the festival headquarter booth at a slightly higher cost.

The Kalahari will be sure to accommodate for the following:

There are multiple locations throughout the resort that offer food options payable using credit/debit cards.

One month prior to the festival, I will send to you in advance of the festival a pdf (8.5x11) document with a large number on it. This paper is to be taped to the front passenger side window of your bus or buses prior to your arrival. This number will allow our staff to quickly identify your school once you arrive.
As you approach the Kalahari on the service road leading up to the building, you will continue straight and go under the walkway connecting "Double Cut" restaurant to the "Sands" building. Once on the other side continue straight until you see the drive leading to the canopied entrance to the convention center.
If other buses are in front of you, just pull up behind them but do NOT unload. Keep your students on the bus. Our staff will board your bus to give some directions to your students and give you your packet which will include:
Waterpark wristbands
Adventure Park wristbands, and
meal tickets
When you enter the convention center please remember to be quiet in the halls as other performances may already be in session.
As you walk down the hall, stop at Festival Headquarters (Africa East Registration) briefly to get your t-shirts (if you ordered some). Kids can come back later to purchase one if they wish!
PLEASE NOTE - Regardless of when you plan to arrive at the Kalahari, you MUST go through this process and allow our staff to talk to your students and give you the packet.

You can choose when you would like to experience the parks, either before or after your festival schedule. Just keep in mind the park hours of operation:

Yes, a member of our team will board your bus once you arrive and will help you get to your homeroom. A team member will also get you to the performance room prior to your performance.
For all other transitions, you are expected to find your own way. Please study the map and be prepared to make it to the correct locations in a timely manner. For schools staying overnight, see the specific information pertaining to this situation.

Restrooms are located in numerous locations around the convention center.
Non-Binary students can use the individual restrooms located in the new area of the convention center as seen on the map.
There is also a family restroom located in the waterpark for those students who want privacy when changing.
Please ask your students to be respectful of these spaces.

First stop is Festival Headquarters located at the "Registration East" Ticket Booth next to the African East Ballroom. This will also be the location to purchase extra festival shirts and to return waterpark passes/pizza coupons for a voucher if you have an absent student.

The Kalahari does not employ a nurse, however they have staff members with first-aid training. If a medical situation or emergency came up, we would call 911.
It is the responsibility of each school & family to have trained staff accompany students with specific health concerns that go beyond basic first aid.

From Kalahari Management:
“In order to provide a smoother and safer transaction for our guests and associates, our resort will be 100% cashless as of February 22, 2023. We accept credit and mobile payments (Apple/Google Pay). Should you arrive on property with only cash, we do have kiosks to exchange your dollars onto a Mastercard that can be used anywhere Mastercard is accepted. Guests will have the opportunity to swap cash for a Mastercard gift card at one of our kiosk locations. This card can then be used throughout the resort and anywhere Mastercard is accepted. We accept all major credit cards - Visa, Mastercard, American Express, and Discover. We also accept Google Pay and Apple Pay on mobile devices. We do not accept Venmo or other cash app payments. The kiosks will accept $5, $10, $20, $50, and $100 bills.

The BTN Registration Booth WILL accept cash. Students may purchase festival t-shirts and stickers during the festival hours.
On-Site Festival Logistics
Performances

Each participating ensemble will be scheduled for the following “events”:
Move-In: This is the designated time your ensemble can move into your designated homeroom space.
Warm-up: This time (sometimes connected to the move-in time, is reserved for your ensemble to prepare for the performance. Your homeroom will serve as your warm-up room as there is not a separate warm-up location. No music stands are provided by BTN in the homeroom/warm-up spaces. You are welcome to bring your own wire stands if you wish. Do your best to keep volume on the softer side when practical. We will have a member of our staff who will come get you and your ensemble prior to your performance time. However, please help us to make these transitions efficiently and effectively to keep the schedule running smoothly!
Perform: This time indicates the time reserved for your group to set-up, perform, and depart the performance space. We will have an Emcee who will introduce your group, but we HIGHLY encourage you or your students to use the microphone in the performance room to introduce or comment on your selections. At this festival we have two tracks: EMBEDDED CLINIC TRACK and SATELLITE CLINIC TRACK. Your group's track is indicated at the top of the schedule page it appears on in the Festival Schedule found on the BTN Website. Look for more specific information about the two tracks below.
Clinic: This is the time reserved for your ensemble’s clinic with the wind and percussion clinicians. For more specific details see clinic tracks below.
Listen: Each ensemble will be assigned a required listening time. Not only is this a great opportunity for your students to hear another middle school ensemble, but it also provides an enthusiastic audience for the performers. A win-win! It is important that your group is present at the beginning of this performance even if that means bringing your instruments to the performance hall if you don’t have time to put them away.
Pizza Lunch/Dinner: Depending on when you perform your group will be assigned a specific meal time. Please be on time and stick to the schedule as this helps the Kalahari staff with anticipating numbers. Just imagine making enough pizza to feed nearly 5,000 students in two days!
Clear Room: This indicates the time you should begin departing your homeroom space. It is important to have cleared your room by the end of this time block as another group may be entering soon after. Please note that you may need to depart your homeroom space before your scheduled time to eat or listen to another group. Please do what you can to leave the room neat and clean. Putting chairs back into rows and throwing trash away will be helpful to the next school coming in.

In this track the clinic will take place in the same room as the performance.
After a brief photo opportunity, the clinic will begin as soon as you are done performing and continue for the balance of the time remaining.
Percussion will remain with the ensemble during the clinic. One of our percussion specialists will listen to your performance, take notes, and talk with your percussion during the clinic.

This track has a separate performance and clinic rooms.
We will have an Emcee who will introduce your group, but we HIGHLY encourage you or your students to use the microphone in the performance room to introduce or comment on your selections.
After a brief photo opportunity, the clinic will begin in the performance hall with the balance of the remaining time. Once that time is up, your ensemble will transition, single file, from the performance hall to the wind clinic room and percussion clinic room. The winds will follow the clinician to the wind clinic room and the percussion will take any percussion equipment they brought into the concert hall to the Ebony and Empress rooms for the percussion clinic.
All percussionists will need snare drum sticks for the percussion clinic (nothing else). Wind players should bring their instruments and band music to the wind clinic. At least one adult should attend each clinic for the duration of the 30 minute clinic.

The performance spaces are in the large convention spaces at the Kalahari. These spaces have carpeted floors and high ceilings. While there are no sound shells, the sound does project well in the spaces. Percussion should be careful as their sound will project easily.

Percussion not listed above is the responsibility of the performing school. Please label your percussion equipment.
Please use yarn mallets on the marimba and vibes (no exceptions).
We will provide NO MALLETS or BEATERS.

Yes! We will collect information from you regarding the selections you plan to perform including a group photo of your band. We will NOT collect or publish student names. The online program will appear and be archived on our website. Feel free to share a link to this program with your administrators, colleagues, family and community members.

We strive to find amazing music educators from the local and national level who have a proven track record of inspiring and working with young musicians. A specific list will be shared on the website each fall in October.

All performing ensembles will receive:
Video recording with high quality audio of your performance
Audio comments from a clinician
Written comments from a clinician
We will upload all of these items into a Google Folder that will be shared with you within 24 hours of your performance.

The performances are free and open to the public. We will have ample seating for parents if they choose to come to hear the performance. Please remind parents that we do not want flash photography during the performance (before and after is fine). You may also take video during the performance.
Spectators and parents not chaperoning will not be allowed in the band or percussion clinic rooms due to space limitations. Spectators can park in the East Lot.

While there is no required formal dress code, we recommend performing ensembles wear clothing suitable for a concert performance. Shorts, swimwear, and flip-flops are not permitted.

The number and type of selections performed is up to each ensemble. Keep in mind, however, that we must stay on schedule.
Most ensembles select three selections, on average. The online registration form will ask you to identify and upload PDFs of the selections you plan to perform. You will not need to mail paper scores. Before you upload your PDFs, please number all the measures so the clinicians can make quick notes on the performance.
Beyond the Notes Band & Orchestra festival meets the requirements as a “clinic festival” for the WSMA. Remember to fill out necessary forms and send payment directly to WSMA.
Ensembles typically perform between two to four pieces of literature. Again, this is entirely up to ensemble directors, so long as the performance fits in your allotted time window. Music does not have to be selected from a specific list.

A shared Google Folder will be sent to you within 24 hours of the festival concluding.

Students/Chaperones/Directors coming for the day will have a choice when registering for a waterpark wristband or an Adventure Park Pass* (groups staying overnight see specific information below). You do not need a pass to enter the Adventure Park, however, you do need a wristband to enter the waterpark.
Students electing to get the waterpark wristband can still do indoor theme park activities; however, they will need to pay for each activity (see the Kalahari Website for individual Adventure Park activity prices).
There is no cost for directors and chaperones to observe students in the Adventure Park. The price for chaperones/directors who would like to swim or receive an indoor theme park unlimited ride wristband is the same as the students. Please note the pre-registration price will not be the price at the festival on the day of the event (it will be significantly higher!).
Please be careful not to lose a wristband as there are no extras. Also, you cannot exchange or request more or less of a certain wristband after the registration deadline.
The Kalahari will have lifeguards and employees working both parks. However, we recommend an adult chaperone be in each park to watch the kids.
Students should not wander to other locations in the hotel complex including the Desert Star Cinema (attached to the complex via the indoor theme park) without adult supervision.
**If a child is sick or cannot attend, you can return the waterpark wristband or indoor theme park to the Festival Headquarters located in the Registration East Ticket Booth (by Africa East) on the day you are at the festival for a voucher good for a future visit to the waterpark or indoor theme park. The wristbands and pizza tokens will be valid the days of the event only and cannot be used at any further dates/times.

Students are able to change in any of the large restrooms in the convention center space that are identified on the festival map. There are also locker rooms right inside of the water park. Students should not change in public spaces, homerooms, or hallways.

Entrance - Kalahari has created a new entrance to the waterpark that does not go through the locker rooms.

Lockers are available to rent inside the women's or men's locker room or inside the waterpark via a kiosk next to the lockers using a credit card. They come in three sizes (small, medium and large) and range in price between $10-25 depending on the size of the locker. 4-5 kids should be able to fit in a $20 locker IF they don't bring their entire bedroom with them.
If students do not rent a locker, their bags MUST be taken into the waterpark or theme park. They CAN NOT be left in the hallways, food court or changing rooms.

The Kalahari can check bags that go into our Waterpark for carry-in food/beverages, weapons & drugs. Bag checks are done for overnight & day guests. No food or beverage can be brought into the waterpark. This is State Law.

Students must follow Kalahari's rules regarding running, inappropriate or dangerous activity, budding in line, etc.
We get a report about behavior from the park managers. Inappropriate activity may and can result in your group not being allowed to come back.

Folks headed to the waterpark will need to bring a towel. Students will NOT receive a towel from the Kalahari.
Those staying overnight should plan should not use hotel towels at the water park, as a charge will be applied to your room if the towels are not returned. Folks may want to consider putting their name on their towel as well. Thank you!
Resort / Park Questions

YES! We have negotiated an amazing price that is nearly 50% off of the regular price! Prices can be found on the price sheet located on the BTN Website. Note that the price Includes Waterpark passes!
Prices are set to up to four people occupancy for each room. You cannot go over four but you can do fewer. Each room comes with two queen beds. The resort fee has been waived and no sales tax will be assessed if you order the rooms through BTN.

Yes, waterpark passes are included at no extra charge, however these passes cannot be swapped or exchanged for adventure park passes.
Staying overnight does not allow your students to select a waterpark pass versus the Adventure Park pass. However, students can still order a one-day adventure park pass for an additional fee during the registration process.
Keep in mind that students can enter the adventure park without a pass and pay for rides and games individually if they wish. The other benefit is that your students can go to the waterpark two days rather than just one day!

The Kalahari reserves the right to assign all rooms. As you can imagine, they have many school groups and are really good at organizing things that are effective and efficient. If you have a specific request however, please communicate that on the room list document.

You will submit your room lists using an online registration form provided to you a few months before the festival during the registration period. This will include all of the adults staying as well.

Yes! We want to make sure that you and your chaperones get some much-needed rest. Each group will be charged $150 to help offset the cost of the security.
Security will begin at 10 pm and finish at 6 am. That's eight hours of sleep for you (hopefully!).
REQUIRED curfew is 10:00 PM. Students may not be out in the hallways after 10 PM with lights out at 11 PM. NO EXCEPTIONS.

Meals are not included in your room cost, however you can register for the pizza lunch or dinner as well as the breakfast option. You will be able to register for these options when completing the online registration.
The Kalahari will not allow you to bring food into the convention center, however you are able to have food in your hotel rooms. Keep in mind also, that there are fast food places to eat in the Adventure Park as well as the waterpark.
If you are willing to leave the resort, you will find Pizza Ranch, Jimmy Johns, Qdoba, MACS, Unos, and Culvers close by.
